Abstract

A meeting occurs where more than two people gather  to discuss certain topics.  The ability to access minutes from previous meeting is crucial for the following reasons: i) to avoid discussing issues that have been resolved, and ii) to help monitoring actions that must be taken by the appointed members. e-Meeting have been proposed to assist in the implementation of meeting processes that are  pre-meeting, meeting and post-meeting. This system is able to provide information on the date, venue and agenda of each meeting to the members of each meeting. Invitation letter with the agenda of meeting will be created and distributed among the members in the pre-meeting process. During a meeting, attendance of the members and minutes will be recorded immediately. As member who cannot attend a meeting can either: i) a another person to replace him/her during the meeting. ii) can join the meeting via teleconferencing. In the post-meeting process, e-Meeting  will remind members to take  appropriate actions for their corresponding designated issues. Further, members can update the progress of their corresponding actions. In addition, communication among the members will be more interactive where each action can be updated before the next meeting. e-Meeting employs a paperless concept where members can retrieve previous minutes from the archive and has the potential in the implementation of an accurate and efficient meeting processes.
